Proposal: Phi Mu Alpha Sinfonia Spring Formal

Purpose: social event

What will be accomplished?
The Phi Mu Alpha Sinfonia Spring Formal is a spring semester social event that is designed for optimal end of the year brotherhood interaction. This event also serves purpose in showing that Lambda Xi has grown and matured as a chapter to where we are capable of hosting such an event.

The event will be formal attire with men wearing ties and coats (optional). Ladies attire includes formal and cocktail dresses. The event will take place on the planned date from 8 p.m. - 12 a.m.

Platinum Plan: Oxford Conference Center
Cost: $807.04
Includes:

16x30 beverage table

Start time: 4 p.m. – 12 a.m.

Gold Plan: Oxford Conference Center
Cost: $452.04
Includes:
Magnolia Room A
5 banquet tables
16x30 beverage table
OCC table linens
18x18 dance floor
Start time: 4 p.m. – 12 a.m.

Silver Plan: Johnson Commons
Cost: $50
$25 non-refundable fee
$25 first four hours of usage outside regular working hours
Includes:
Johnson Commons Ballroom
Start time: 6 p.m. – 12 a.m.
Student groups must have an advisor present for the event duration.
Additional costs will be acquired for COBRA SECURITY.

Planning?
Other than an immediate deposit fee of half of the overall price, full planning will not be necessary until early spring semester, though pre-planning may be preferred.

Additional Cost Efficiency Plan?
To help weigh some of the cost, members can be charged a $5 a person ticket rate, with each member and his date being $10. With an average of 30 members:

$10 x 30 = $300

Additional Notes
This event does not involve a third party vendor and alcohol during the event is prohibited. As the formal event will start from 8 p.m. – 12 a.m., any activity before or after the formal is considered non-fraternity related.

Smokers will find that the Oxford Conference Center has an outside terrace for use.

Closing the formal event may include a few brief words as well as “Sinfonia Parting Song”.

OCC Damage Deposit Form
With usage of OCC there is a REFUNDABLE Damage Deposit Form of $250. The clients are responsible for leaving all spaces leased in the manner they found them at the beginning of their event. OCC staff can provide, trash can bags, brooms, etc as seen needed. Once approved, OCC will return the deposit within 14 days of the event.
